Meetings and prep calls

Today folo texts you a brief about 15 minutes before each meeting on your connected calendar. Planned folo will prepare you only for meetings with someone else, keep what it learns for the next one, and let you decide, meeting by meeting or once for all of them, whether it tells you by text, by a call, or only when you ask.

Each stop in more detail:

  1. When the meeting is bookedfolo asks how you want to prep Planned

A heads-up text, a prep call, or nothing. Several bookings at once become one text, and asks wait until your quiet hours end.

  2. Before the meetingfolo prepares a brief

Built from past meetings you may see and recent email with the attendees. Every point quotes its source; a point folo cannot source is dropped.

  3. About 15 minutes beforeYou get the brief

Today: a heads-up text before every meeting on your calendar. Planned The way you chose instead: a heads-up text, a prep call you can talk back to, or nothing, in which case the brief waits in folo's memory until you ask.

  4. Duringfolo's notetaker captures it Planned

One capture per meeting for the whole company, however many teammates attend.

  5. AfterRecap to attendees Planned

Notes, commitments with an owner and a due date, and a short recap of decisions and next steps to you and the other attendees.

  6. About 5 minutes after it endsDebrief offer Planned

folo offers a short call to record your thoughts. What you say stays in your own memory.

Stops marked Planned are decided and not yet built.

Ask any time

Planned The brief is not only a message. folo files it in your agent's memory, so you can ask "what do I need for my 3pm?" by text, call or app whenever you like, even if you turned every heads-up off.

A brief names who is coming, what was said last time, what you promised and have not done, and what they raised before. If folo could not read your email or past meetings, it sends a shorter brief and says so instead of guessing.

Choosing how you hear about meetings

Planned You will set a standing choice in the app, and answer folo's ask for any single meeting.

Before a meeting
  • Ask me each time The default. folo asks when it learns of the booking.
  • Text me A heads-up text before every meeting with others.
  • Call me A prep call, 15 minutes before or at a lead time you pick.
  • Morning summary One text each morning listing the day's meetings.
  • Off Nothing is sent; folo still prepares and answers when you ask.
After a meeting
  • Offer a debrief by text The default.
  • Call me to debrief folo rings you after the meeting.
  • Off No debrief.

Your answer for one meeting will win over the standing choice. folo will prepare only for meetings with at least one other attendee, so a "Focus time" block on your calendar gets nothing. Today every event on your calendar gets a brief.

Quiet hours. Planned folo will never text or call inside your quiet hours, 9 pm to 8 am in your time zone unless you change them. Anything due then moves to the end of quiet hours, unless that makes it useless: a heads-up for a meeting that has already started is dropped, and a debrief due at night becomes a text offer in the morning.

Texts off. Planned With texts off, by STOP or in the app, folo sends no heads-up texts or offers and places no prep or debrief calls; prep still waits in memory for when you ask. What STOP does today is on SMS keywords.

Draft: the exact reply words for an ask, such as TEXT or CALL, and how long an offer stays open, are not final.

Who sees a meeting

Visibility is set when folo first sees the meeting on a calendar. A meeting with anyone from outside the company is shared with everyone in the company, through their own agent. A meeting with only company people stays with the people who attended.

Can see the meetingAttended

Planned Any attendee will be able to change it afterwards. A brief, an answer or a call cites only records the person receiving it may see, so a fact from a private meeting you were not in does not exist for your agent. What you say on a prep or debrief call is private to you in both cases.

The notetaker

Planned folo's notetaker joins Zoom, Google Meet and Microsoft Teams calls.

  • It joins as "[Name]'s folo notetaker" and posts a chat message saying it records, with a link to remove it.
  • If an attendee removes it or says "stop recording", it leaves and the meeting is marked not captured, so later briefs do not read the gap as "nothing was said".
  • If it cannot join, for example because of a waiting room, the meeting is also marked not captured.

Draft: importing notes from other notetakers, recording in-person meetings, and the consent steps for each are not final.
